All WARR Team Captains,

We hope that those of you who have Easter breaks are having good ones and that those who don't have equally good breaks lined up soon. We trust that you are all looking forward to coming to London in September for what this year we are calling the World Airline Road Race Festival.

The WARR London Host team have been hard at work arranging the best event we can for you all and both the host website and the international websites have been updated with the latest information and details of how to signup for the Festival.

Our objectives for London is that all participants enjoy the festival, run well, have fun and feel they have received value for money.

As ever we need your help in promoting the event around your airline and teams and for some of the necessary administration. The rest of this communication covers the key points. These are:

Firstly - Sponsorship - please note that we are delighted that Amadeus are joining in and enhancing the fun as Gold Sponsors. Please give Amadeus your support in return and if you already have dealing with them please thank your contact for Amadeus' contribution to this event.

Next please find attached a poster promoting the Festival. Please pass this around your airline and print off and hang copies on notice boards. We've left space at the bottom for you to add your contact details – remember that our chairman Ron Maxwell has issued a challenge to you to bring the largest number of new runners. In the ‘Supporters’ section of the London website there is also a new leaflet that you can print off and distribute.

To keep costs down we are only allowing electronic signup through the website. If you have team members who are unable to signup electronically then you will need to make the entry for them. If you have any difficulties with signup then contact Ron at runmax@yahoo.com .

We’ve arranges venues that have the capacity for twice as many Airline WARRiors than attended in Ottawa or Hangzhou. Nevertheless the potential team size information that you provided us with suggests that we will sell out both the Race Festival and the Awards Party. For this reason we want to set the expectation straight away that all WARRiors will have to sign-up before they come to London – we will not allow any “walk-in” entries during the registration week. We want you to pass that message around – we don't want anyone turning up in London without an entry and finding that they can't get in. We have studied a previous year's booking profile and this suggests that the Festival will reach capacity towards the end of August. We will monitor how many WARRiors have signed up and advise you again before capacity is reached.

We have personal experience of travelling standby to WARR events, including arriving very late on the evening before the race and even failing to arrive, so we do understand why some WARRiors are reluctant to signup for WARR before they can guarantee their arrival. For this reason this year we will offer a Team Captain facility to pick up registration packs for their team members who are worried about not making it or arriving late on the evening before the races. There will be a cash surcharge of £5 per pack to cover our administrative costs for this and we will need to know in advance that you, the team captain, will be picking up extra packs. We are not communicating this facility as we appreciate some Team Captains might be unwilling to collect packs for their teams. If however you are happy to do this, then please pass this information on to your teams. We will contact you again, nearer the time of the Festival, to ask if you need this facility.

Several of you have asked whether British Airways will be offering staff rate fares for staff of airlines with whom the airline doesn't have reciprocal staff travel arrangements – and for friends and families. Unfortunately, given our current situation, the airline has declined to offer this. The airline is providing discounted commercial fares for the Festival – these will save you tens of dollars off commercial BA fares and guarantee you a seat to London.
